5. Terms and conditions of hire

  • Bookings for the Venue or Facility are processed by the MTIC, Monday to Friday. All Venue bookings are to be made by completing a booking enquiry form on the MTIC website, with full disclosure of the nature and purpose of the booking. Venues charges must be paid in full at least 1 week before date of use. Cancellation or changes of the booking must be made at least three days in advance. Refunds are subjected to terms and conditions. Venue hire charges will be charged.
  • Decorations, alterations or additions to the conference room, such as installing new equipment, or displaying posters, may not be made without the prior consent of MTIC. If permission is granted, users may arrange the room as required. No fees will be charged for setting up the room if completed within 1 session before the start of the event, after which half of the fee will be charged per additional session.
  • The refusal of use of the facility in any case may be authorised by the MTIC if :
    (a) The Hirer cannot or is not complying with the General Conditions of Hire.
    (b) There is a likelihood that damage may be caused to the venue, The Hirer has exceeded the duration of hire.
    (c) The activities held are in violation of government laws and regulations, or use is being conducted or is proposed to be conducted is of a scandalous, libellous or obscene character.
  • The Hirer should check out after the end of the day’s activities, confirm costs and charges with the MTIC and settle any outstanding fees. Additional costs incurred for extended use outside the booked times will be applied to the Hire fee.
  • At the end of the lease, the Hirer should return the venue in the same state and condition specified in the inventory together with any substituted replacement articles at the subject to approval by MTIC. If in breach of the lease agreement, the Hirer agrees to pay all the costs of installation, removal and repair of any damage done.
  • Eating and drinking are forbidden in the MTIC. Please rent additional open spaces if catering is required. The Hirer agrees to pay all the costs of installation, removal and repair of any damage incurred.
  • The calculation of the booking duration is based on the required number of sessions. Additional costs will be applied for extended use.
